Job Description

We are seeking a mature, highly organised, and dependable Senior Learner Management & Placement Administrator to support the operational delivery and compliance of our learner programmes.

This is a senior administrative role requiring strong attention to detail, sound judgment, high accountability, and the ability to manage critical operational controls with minimal supervision.

The successful candidate must be confident, process-driven, and comfortable following up, enforcing deadlines, and escalating concerns when controls are not met.

Key Responsibilities

Learner Placement Administration

  • Coordinate learner onboarding and placement administration
  • Ensure placement readiness before learner activation
  • Maintain accurate learner and host site records
  • Ensure all required documentation is complete and compliant

Host Site Coordination

  • Liaise with host site HR departments, mentors, and learners
  • Verify mentor allocations through official host contacts
  • Confirm reporting structures and placement details
  • Follow up on placement issues and resolve administrative bottlenecks

Monitoring & Operational Controls

Take ownership of daily operational controls including:

  • Placement approval tracking
  • Mentor verification
  • Attendance monitoring
  • Timesheet verification
  • Escalation tracking
  • Incident logging
  • Document control

Risk Flagging & Escalation

  • Identify discrepancies, gaps, or compliance risks
  • Flag non-attendance or irregularities immediately
  • Escalate concerns proactively to management
  • Support incident investigations with accurate records and evidence

Reporting & Systems

  • Maintain operational trackers and databases
  • Prepare weekly and monthly operational reports
  • Ensure records remain audit-ready
  • Support process improvement and system discipline

Minimum Requirements

  • Grade 12 (essential)
  • Relevant qualification in Administration, HR, Training, or Operations advantageous
  • Minimum 5 years administrative / operations experience
  • Minimum 2 years in a senior administrative or coordinator role
  • Strong Microsoft Excel, Word, and reporting skills
  • Experience in Temporary Employment Services, Learnership Training Administration, HR or similar environments is advantageous
